Project Coordinator (JP)

Our growing company is seeking to hire a Project Coordinator who will be in charge of assisting our team in organizing our ongoing projects in Japan/Asia. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

To be successful as a Project Coordinator, you will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. A bachelor's degree in a related field of study and at least five (5) years of relevant experience is required for consideration.

Work Authorization:

Residency in Japan is mandatory. Applicants must be legally authorized to work in Japan without requiring visa sponsorship for employment. 

Objectives of this Role:

  • Representing GreenGen to clients, partners, and contractors in Asia

  • Keeping client engagements organized and running smoothly

  • Facilitating the transferring of information throughout an engagement between the GreenGen team, local partners, the onsite team, and the client

  • Bridging language and cultural barriers that may exist during a client engagement

Education and Qualifications:

  • Bachelor degree in business or related field of study

  • 5 to 7 years of experience in related field

  • Exceptional verbal, written and presentation skills

  • Ability to work effectively both independently and as part of a team

  • Competency in Microsoft Office applications including Word, Excel, and Outlook

  • Proficiency with file management, transcription, and other administrative procedures

  • Ability to work on tight deadlines

Mandatory Skills:

  • In-depth knowledge of large buildings and their mechanical and electrical systems, particularly HVAC and control systems

  • Practical experience in energy reduction concepts, calculations, and energy modeling; experience with performance benchmarks and energy modeling methods

  • Creative problem solving skills

  • Superlative quantitative analysis abilities

  • Ability to present analysis in understandable and compelling formats

  • Strong interpersonal and client communications skills

  • Team player to inspire and mentor colleagues

Responsibilities (specific duties will change with each project):

  • Making sure that your team (GreenGen and local partners) has the information and resources they need to execute the project

  • Liaising with clients, engineers, contractors, suppliers, and internal company stakeholders during the energy plan development process

  • Translating communications and technical reports to and from Japanese

  • Creating a project schedule with milestones, due dates, and estimates for the materials that will be submitted to the client for approval

  • Helping with the documentation of each phase of the project, as well as providing summary reports regarding operations that will be presented to GreenGen’s management team

  • Working with team members and clients who have specific project-related issues

  • Building relationships with GreenGen and its partners to develop a strong working unit and supporting team to ensure the success of a project

  • Identify and contact potential vendors and local partners to help GreenGen implement client engagements

  • Attend industry-related conferences, trade shows, and events and present information back to GreenGen and our partners

Other tasks may include:

  • Research into project opportunities, i.e. RFP requests and notices of opportunities

  • Research best in class contractors, vendors, and other service providers

  • Research into local utility and municipal grants and incentive programs for energy efficiency work

  • Translate relevant marketing materials

  • Supporting in client and/or partner meetings

  • Translating of project information, such as building schedules and utility bills to/from Japanese and possibly other major Asian languages

  • Weekly calls with GreenGen to update project status

  • Helping GreenGen to recruit staff members in Asia

  • Perform other duties as assigned

Location: Japan

GreenGen operates throughout Japan, requiring regular travel and an ability to communicate in multiple languages. We are not able to relocate candidates, sponsor visas, nor to accept applicants who are not already permitted to live and work in Japan.


Travel to a variety of client locations within Japan and Asia will be required for this role up to 50% of the year in increments of one week or less. Long-term engagements at a single client location are not expected.
